Privacy Policy

Confidentiality and Security of Information Policy

International Community School (Singapore) will collect, store, disclose and dispose of the personal information of staff, students, parents and other members of the school community in a confidential and secure manner.

The personal information that the school collects includes:

  • Student and parent data: contact details of students and families, students and families emergency contact details, student’s health status, immunization and developmental records and plans, custodial arrangements, incident records, medication records, prior student academic records related to admissions.
  • Student academic performance: course assessment materials and results (tests, report cards, and transcripts).
  • Staff data: staff documentation relating to recruitment and selection, contact information, performance reviews, teaching credentials, university degree qualifications, work history, child protection checks, health issues related to ICS health insurance filings, workers’ compensation claims.

ICS shall ensure that all information collected is treated as private and confidential and not disclose information outside of the organization without the prior knowledge or consent from the individual or legal representative. For children, their legal representative is their parent or guardian.

ICS shall inform persons, prior to collecting information, of the circumstances where information will be disclosed to other parties, unless otherwise required, permitted or authorized by law. This may include instances where staff qualifications may be disclosed in a newsletter or on the school website.

Use and disclosure: ICS shall only use or disclose with consent personal and health information for the primary purpose for which it was collected or for a related secondary purpose that the person would reasonably expect the data to be used for. ICS will disclose information as required or authorized by law.

It is understood by staff, students and families that there is a shared responsibility between ICS and other stakeholders to uphold this confidentiality and security of information policy.

All personal information of students, families and staff is to be stored in a secure computerized database with the appropriate level of security to ensure that access by others will be on an as required basis.

Hard copy files of students and staff information are to be stored in secure storage locations.

A summary of this confidentiality and security policy will be included in all advertising brochures, enrollment forms and on the website. In the event that ICS intends to use data provided for other purposes beyond the original intent of data collection, ICS must seek the written permission from the parents or staff before using the data, unless requested by government agencies. Student’s information in the course application form should only be used for the purpose of course administration and should not be used by ICS for course advertisement.

Use and Disclosure of Personal Information

The following statement is to appear on all school websites and advertising brochures, including the application form, and on any other documents that request personal information from any member of the school community.

Use and Disclosure of Personal Information: ICS is committed to maintaining the confidentiality of all information provided by you and undertakes not to divulge any of this information to any third party without your consent unless otherwise authorized by law. ICS will not disclose any personal information, course assessment materials, or assessment results to third parties for marketing purposes.
